Terms & Conditions
Understanding Your Agreement with Costa Rica Wedding & Events Place We would like to explain the key details regarding our services, reservations, and mutual responsibilities to help ensure a smooth and successful experience for your special event in Costa Rica.
COSTA RICA WEDDING & EVENTS PLACE
These Terms & Conditions govern the wedding planning, event coordination, and event production services provided by Costa Rica Wedding & Events Place in collaboration with hotels, venues, event locations, and specialized vendors throughout Costa Rica.
Our goal is to provide a professional, transparent, and efficient planning experience while protecting both our clients and our service partners.
1. RESERVATIONS & DATE CONFIRMATION
Event dates are reserved only upon receipt of the required initial deposit.
Once confirmed, the selected date will be exclusively reserved for the client, and planning and coordination services will begin.
By making a reservation, the client accepts these Terms & Conditions.
2. RECOMMENDED BOOKING TIMEFRAME
To ensure the best availability of venues and vendors, we recommend:
• Destination Weddings: 6–12 months in advance.
• Weddings with over 100 guests: 9–12 months in advance.
• Corporate Events: 3–6 months in advance.
• Private Celebrations & Graduations: 3–6 months in advance.
Availability cannot be guaranteed for bookings made outside these recommended timeframes.
3. PAYMENT TERMS
Payments must be made according to the schedule established in the proposal or agreement.
Standard payment structure:
• Initial deposit to secure the date.
• Intermediate payment as agreed.
• Final balance due thirty (30) calendar days prior to the event date.
Failure to comply with payment deadlines may result in suspension or cancellation of services.
4. CURRENCY & PAYMENT METHODS
All services are quoted and invoiced in U.S. Dollars (USD).
Payments may be made in USD or Costa Rican Colones (CRC) based on the official selling exchange rate published by the Central Bank of Costa Rica on the payment date.
Accepted payment methods:
• Domestic bank transfer.
• International wire transfer via SWIFT.
• Credit or debit card through PayPal.
• Other methods approved by the company.
Any banking, transfer, currency conversion, or processing fees are the responsibility of the client.
5. CANCELLATIONS & DATE CHANGES
All cancellations must be submitted in writing.
Due to commitments made with hotels, venues, and vendors, all payments are non-refundable.
Date changes are not guaranteed and remain subject to availability and possible rate adjustments.
6. HOTELS, VENUES & VENDORS
Costa Rica Wedding & Events Place coordinates services with independent hotels, venues, transportation companies, photographers, decorators, entertainers, and other specialized vendors.
Each vendor may maintain its own policies and conditions.
7. EVENT MODIFICATIONS
Any changes regarding guest count, schedules, logistics, décor, or contracted services must be requested in writing.
All modifications are subject to availability and may involve additional costs.
8. FINAL GUEST COUNT
Final guest numbers must be confirmed in writing no later than thirty (30) calendar days prior to the event.
Reductions after final confirmation may not qualify for refunds due to vendor commitments already made.
9. FORCE MAJEURE
Neither party shall be liable for circumstances beyond their reasonable control, including natural disasters, severe weather, government restrictions, health emergencies, labor disputes, or utility interruptions.
In such cases, reasonable alternative solutions will be explored whenever possible.
10. LIABILITY
Costa Rica Wedding & Events Place shall not be responsible for delays, cancellations, or disruptions caused by airlines, immigration authorities, weather conditions, government actions, third-party vendors, or other circumstances beyond our control.
Clients are responsible for providing accurate information and for any damages caused by their guests.
11. OUR COMMITMENT
We are committed to providing professional planning, coordination, and support throughout the entire event process.
We work with carefully selected hotels, venues, and vendors that meet our standards of quality and professionalism.
Client information will be treated confidentially at all times.
12. TRANSPARENCY
No additional services involving extra costs will be contracted without prior client approval.
Any budget modifications will be communicated and approved before implementation.
13. SUBSTITUTE VENDORS
If a vendor becomes unavailable due to circumstances beyond our control, reasonable efforts will be made to provide a comparable alternative.
14. CLIENT INFORMATION
Clients may request updates regarding planning progress, payments, reservations, and contracted services at any time during the planning process.
15. ISSUE RESOLUTION
Should unforeseen circumstances arise during planning or event execution, Costa Rica Wedding & Events Place will make reasonable efforts to resolve the situation and minimize disruption.
16. ELECTRONIC INVOICING
Electronic invoices are issued in accordance with Costa Rican tax regulations and the requirements of the Ministry of Finance.
17. PHOTO & VIDEO USAGE
Unless otherwise requested in writing, Costa Rica Wedding & Events Place may use photographs and videos from the event for portfolio, marketing, promotional, website, and social media purposes.
Clients who prefer not to grant such permission must notify the company in writing before the event date.
18. ACCEPTANCE OF TERMS
Signing a contract, accepting a proposal, or making any payment constitutes full acceptance of these Terms & Conditions.

These Terms & Conditions shall be governed by the laws of the Republic of Costa Rica.
EFFECTIVE PERIOD
Official Version 2026–2027
These Terms & Conditions become effective on January 1, 2026, and shall remain valid throughout the 2026–2027 period.
Costa Rica Wedding & Events Place reserves the right to update these Terms & Conditions for future bookings when necessary.
Such modifications shall not affect previously confirmed reservations or signed agreements.
